Communication

In Istanbul, we selectively invited 14 colleagues from different BUs for a rapid prototyping session on communication. 10 colleagues showed up and contributed with their ideas.

We originally focused on bottom up communication, feedback loops and peer-to-peer communication however as the session evolved, we did not want to limit ourselves with such limitations so some ideas were also generated for other types of communication.

We watched the video and quickly went through the “Communications Workflow” ppt.

We collected ideas and discussed each thoroughly, we reviewed the ideas and refined as we discussed. We called relevant parties to get their input on the phone when we felt it was necessary.

We challenged each idea with several questions such as:

  • Is it relevant?
  • Is it really necessary?
  • Is it cost effective?
  • Is it achievable?
  • Etc.

At one point, session changed course and we started discussing what kind of spare resources we have and how we could make the best use of them. There were several other communication related ideas developed  around making best use of spare resources.

Once some ideas were developed, we thought about making prototypes. We wanted to involve some experts for the prototyping processes. For technology related communication ideas, we involved additional ITS colleagues, for office space related ideas, we involved CS and an architect.


For each prototype, we focused on the idea to find the fastest and most cost effective solution. We referred to the users’ experiences and existing best practices. We reviewed the prototype with the actual users to find out if it would help. Based on the feedback, we refined the prototype as best as we can. For some cases, we ended up doing several reviewing and refining until all felt comfortable.

IDEAS

Idea 1 - Outlook optimization:

After discussing with representatives from various BUs, We agreed that Outlook is still our primary means of communication. Outlook is the most used application among all applications and even a small optimization in Outlook would make a good impact on communication and productivity.

Idea 2 – Shared space for improving communication:

As we were exchanging ideas around making a good use of existing resources. We thought of converting a vacant space into a communication and collaboration room for everybody at a minimal cost with the use of other available resources such as tables in the storage room, spare desktop computers and telephone sets. This urban station, named as "Terminal" by the participants, will contain:

  • Phone booths for private conversations (in an open office concept, people do not feel comfortable for making private phone calls, even some business related calls might require privacy)
  • A large whiteboard to use as a freedom wall (to write ideas, quotes, announcements, classifieds, perks, etc.)
  • A suggestion box
  • A projection screen and wireless headphones for watching TED videos or alike.
  • A stand-up desk and several workstations for group works
  • A printer / copier

Idea 3 – Internal experts:

We think that our most important asset is our human resources. We have so many experts within our group in so many different areas. This idea is to make use of our internal experts to conduct knowledge sharing sessions and Q&A sessions based on their expertise such as marketing, production, denim, garment, etc or even on non-work related areas such photography, well-being, social media, etc. We have already conducted some sessions with local experts in the past. The idea is to have more of these type of sessions with more organized and institutionalized manner. We think it is also a good idea to consider having some of these as global broadcasts, instead of restricting to people in the local office.


Sustainability

Our small group from Istanbul Hub ITS got together to try "Rapid Prototyping" technique. We didn’t have any specific project on our mind, very broadly, we only wanted to try this technique to find a new approach to contribute company’s green initiatives. 

It worked… 

In about 2 hours, we came up with a simple idea and had time to implement it right away; 
we already have recycle bins in our office to collect waste paper and send to the recycle centers. Alternatively, we designed a box to place right next to the copiers, the box is labeled: 
“Place your one-sided non-confidential waste paper here (blank side up)”

In the same session, we collected some one-sided paper from the recycle bins, we sorted, cut them in half and using already existed binding machine, made a simple notebook. 

This tiny project did not only illustrate how to turn ideas into successful end products rapidly but also enabled us to raise awareness about paper consumption and to provide people with free notebooks by reusing one-sided paper that is normally sent to the paper mills.
